Annual IT maintenance contracts were being renewed automatically each year by the supplier without the organisation performing proper checks or giving them enough notice in which to negotiate a better rate or even cancel the contract.
Carried out a detailed review of all IT contracts (over 130) pulling them together into a database producing a detailed analysis of current spend including start & end dates, contract value, supplier, renewal dates, notice periods etc.
This gave clear visibility of where the main spend areas were as well as when contracts were due for renewal. Collated correct management information to discuss with the IT Service Delivery Manager and IT Director which contracts could be changed accordingly to reduce costs – i.e in a number of cases they were paying for services they weren't using. This allowed enough time to then negotiate with suppliers to obtain far better and more competitive costs. Management reports were produced monthly showing the savings which were being achieved.
Once implemented, this allowed far tighter control of all IT related contracts as well as producing cost savings year on year.
